We are seeking an organized, friendly, and efficient individual to join our team as a Receptionist/Office Administrator to help maintain smooth office operations and create a welcoming environment for visitors, staff, and volunteers.

Job Responsibilities

As the Receptionist/Office Administrator, your duties will include:

  • Front Desk Reception: Greet visitors, members, and guests warmly and direct them to the appropriate staff or areas.
  • Phone & Email Management: Answer incoming calls and emails, provide information, or direct inquiries to appropriate departments.
  • Scheduling & Coordination: Manage the church calendar, schedule appointments, meetings, and events, and ensure proper room usage.
  • Office Administration: Perform administrative tasks such as filing, organizing documents, maintaining office supplies, and assisting with mail distribution.
  • Volunteer Coordination: Help coordinate church volunteers, track volunteer schedules, and assist with event preparations.
  • Communication Support: Assist with preparing and distributing church communications such as bulletins, newsletters, and announcements.
  • Record-Keeping & Database Management: Update and maintain church membership and donation databases.
  • Support for Pastoral and Ministry Staff: Provide administrative support to pastoral and ministry staff as needed.

Qualifications

  • Experience: Prior administrative or receptionist experience preferred, ideally in a church or nonprofit setting.
  • Skills:
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
    • Strong organizational and multitasking skills
    • Excellent verbal and written communication skills
    • Ability to maintain confidentiality and handle sensitive information
    • Friendly, professional, and service-oriented demeanor
  • Personal Qualities:
    • Comfortable interacting with diverse groups of people
    • Ability to maintain a positive and respectful atmosphere within the office and church environment
